Design Project Coordinator

About the role

We are looking for a structured and proactive Design Project Coordinator to support Design Project Leaders in Sweden across multiple design projects. In this role, you will play a key part in planning, coordination, follow‑up, and governance, ensuring that design projects are delivered according to scope, timing, and budget.

You will work closely with Design Project Leaders, design teams, finance, and the Design PMO, contributing to smooth project execution and high‑quality decision material for project gates and reviews.

Key responsibilities

Project planning & coordination

• Support Design Project Leaders in their respective design projects

• Coordinate and plan design activities and deliverables according to the defined product development process, scope, timing, logic plan, and budget

• Review and update time plans based on project changes

• Manage and maintain Level 2 time plans for each Design Project, based on the VPP and including short‑ to mid‑term physical modelling plans

• Consolidate an overview of all deliveries within the Design Project Timing Portfolio

Follow‑up & reporting

• Follow up on project activities and deliveries, consolidating inputs for project gates and milestones

• Keep control of project actuals, including hours and model costs

• Support financial follow‑up together with Design Project Leaders and finance

• Maintain and update project forecasts in the Project Resource File and Resource Master File

Meeting & collaboration support

• Support Design project teams in setting up project sites

• Send meeting invitations, prepare agendas, and write meeting minutes

• Prepare and support Design Project meetings and reviews

Governance & operational support

• Provide operational support related to project governance

• Assist the Head of Design PMO with governance activities and other ad‑hoc operational support as required

Who you are

• Structured, detail‑oriented, and comfortable working with multiple projects in parallel

• Strong coordination and communication skills

• Confident working with timelines, budgets, and follow‑up

• Proactive, service‑minded, and collaborative

• Comfortable working in a cross‑functional, project‑driven environment
